Academy Information


We are looking for an Office Manager to organise and supervise administrative systems within Harris Academy Bermondsey . You will contribute to the planning, development and monitoring of support services and/or management of admin support staff, including the coordination and delegation of relevant activities.

Main Areas of Responsibility


  • To present the professional and welcoming face of the Academy to all
  • To manage queries from all stakeholders with exemplary professionalism
  • To ensure that all visitors to the Academy are welcomed in a professional manner
  • To ensure that the telephone switchboard is attended at all times and a reception cover rota is in place for breaks and during staff absence
  • Manage the physical safeguarding protocols for the main entrance to the Academy site,


  • To meet all deadlines as set by the Senior Leadership Team and in accordance with the Academy calendar
  • To maintain an exemplary professional environment at all times
  • To exercise complete discretion when dealing with issues of confidentiality and sensitivity
  • To organise maintenance/repair of office equipment in the main office when required
  • To liaise with admin teams across the Federation as appropriate
  • To oversee the work of the Admin Officers and Receptionist
  • To manage the professional and efficient execution of clerical duties, telephone calls and secretarial tasks
  • To oversee all incoming and outgoing communications, including post, with accuracy and in a timely and professional manner
  • To provide full support to the Academy community, ensuring that the office and administrative team cater to the needs of staff, students, parents and carers on every occasion and without exception
  • To oversee First Aid duties, supplies and of the secure First Aid Lockup

Student Records

  • To oversee the maintenance of all student records, both physical and virtual
  • To produce reports on student data for the Principal, as requested
  • To support the organisation for student photographs to be updated annually in liaison with the ICT Technician
  • To ensure all students entitled to Pupil Premium are aware of this and complete the appropriate documentation
  • To ensure FSM information is up to date on Bromcom
  • To ensure all student personal data is entered accurately and updated regularly
  • To add students to and remove from the Academy roll as required
  • To ensure entry of all secondary transfer data in liaison with Admissions Manager and the Data Manager
  • To ensure that all medical needs are appropriately recorded, medicines appropriately stored and that the communication of medical requirements is prompt, accurate and appropriately adheres to GDPR requirements


  • To oversee all incoming and outgoing reprographics requests
  • To provide management and oversight of equipment, including all photocopying and printing machinery, paper and ink supplies
  • To ensure all faulty equipment is remediated within 24 hours of a fault arising
  • To provide support for all display work in corridors and classrooms

Qualifications & Experience


  • NVQ Level 4 or equivalent qualification or experience in a relevant discipline.


  • Several years’ experience working in an office environment at senior level.
  • Experience of using Microsoft Office Suite.
  • Experience of using Bromcom or other MIS
  • Experience of working with the general public.
  • Experience of using, maintaining and developing administrative systems.


  • Good understanding of databases, including ability to use database to procedure reports and statistics
  • Full working knowledge of relevant policies/codes of practice/legislation.


  • Excellent numeracy/literacy skills.
  • Effective use of specialist ICT packages
  • Use of specialist equipment/resources.
  • Ability to organise, lead and motivate other staff.
  • Ability to plan and develop systems.
  • Ability to relate well to children and adults.
  • Work constructively as part of a team, understanding school roles and responsibilities and own position within these.
  • Ability to self-evaluate learning needs and actively seek learning opportunities.
  • Good organisational skills.
  • Ability to work under pressure and ensure deadlines are met.
  • Ability to organise and prioritise workload and work on own initiative.
  • Ability to find solutions to administrative problems.
  • Ability to maintain accurate records and filing systems.
  • Ability to produce clear reports.
  • Ability to maintain records relating to attendance and punctuality.
